Guidelines for the Women In Sugar E-Network

Google Groups Page

  1. A moderator and administrator for the Google Group page / e-network website will be appointed by the Network's Organising Committee to implement these operational rules;
  2. The initial set-up for the Google Group page will be:
    1. Only members can view the page content
    2. Only members can view the group member list
    3. People have to be invited to join the group and on sign-up agree to abide by the network rules of operation
    4. Only managers can create and edit pages, and upload files
    5. Only members can post messages
    6. Only network members can invite new members to join the Group
    7. There is no moderation of messages - they are delivered directly.
    8. All .pdf files must be smaller than 1MB in order to be uploaded onto web site.
  3. Contact information for Google group members made accessible to other members will be limited to an email address only; no phone number or physical or postal addresses. The moderator of the site will check information being posted on the site conforms with this.
  4. When information is posted on the Google site, a tag will be included to indicate who has posted that information. If information is to be posted anonymously, the information provider will need to negotiate via private emails with the site moderator.
  5. Discussion forum topics will initially be left fairly open with members driving whether they want to discuss Intellectual/Social/Sensitive/Controversial topics. Members are to be encouraged to focus on discussion topics they think are specifically relevant to the sugarcane industry.
  6. Problem resolution would be designated through the moderator who will report to the Network Organising Committee.

Email List

  1. Members will sign up to for the email list and agree to abide by its operational rules.
  2. When information or newsletter etc. are emailed out to members, the "bcc" facility is to be used so individual email addresses are not visible.
  3. A disclaimer will be attached to the emails, including an address to email back if the member wishes to unsubscribe.

  4. A moderator or keeper of the email list will maintain and update membership details. Members will need to request the list from the moderator, with valid reason for its use.
  5. Problem resolution will be administered by a moderator designated by the Organising Committee to sort out anyone who goes against the agreed guidelines or rules for the network.
  6. The email list will be for information circulation and exchange but will not include discussion forums. The following guidelines should be provided:
    1. Be mindful of lengthy emails, shorter emails are likely to be read.
    2. State purpose of the email upfront and / or in the subject line. If the email has a particular geographical reference etc then also state this.
    3. Forwarding emails from or to other lists is not allowed.
    4. The list is for general information sharing and exchange that is relevant to the sugarcane industry.
    5. Direct marketing and self promotion of product and / or service is not encouraged.
    6. Attachments should not necessarily be sent via the initial email. Members are encouraged to email news of reports or documents outlining how members could receive a copy for themselves.
    7. Online surveys should not be administered through the email list. Members are encouraged to provide information on how members could participate rather than put the survey on the forum

Electronic Newsletter

  1. The newsletter to be responsibility of an editor/co-ordinator appointed by the network Organising committee.
  2. Anybody can submit material to the newsletter editor/co-ordinator for inclusion providing the material is considered relevant to women involved in the sugarcane industry or of interest to them (as decided by the Organising Committee). The Newsletter editor/coordinator reserves the right to choose to not to include any material or hold it over to the next issue.
  3. Submission of material will occur via email, according to the agreed closing date for submissions.
  4. The newsletter will be prepared and circulated by the editor/coordinator at an interval agreed to by the Organising Committee
  5. Information can be anonymous in the Newsletter if not relevant. However contact information should be provided with submission; we may need more information or wish to follow up on information.
  6. A disclaimer to be included on the newsletter as for the email list.
